This position is an Administrative Assistant (AA) in the Integrated Applications Center (IAC) within the Energy Systems Integration Directorate of the National Renewable Energy Laboratory (NREL). The AA is a member of a center-wide support team, contributing to the overall needs of all IAC staff. The AA collaborates with the IAC administrative team to serve the needs of the Center. The AA will also provide support to one or more specific manager(s) and their associated group(s).
The IAC mission is to provide comprehensive (multi-technology) expertise to deliver sustainable energy solutions and accelerate market adoption of energy efficiency and renewable energy. The content of work in the group involves policy analysis, multidisciplinary technical expertise, project development, financial and economic analysis, and leadership of projects and initiatives aimed at applying energy efficiency and renewable energy technologies. The AA supports the manager and team in their development and production of these work products.
The job involves both routine administrative assignments and non-routine or special assignments.
Managing paperwork flow
Assisting or executing travel arrangements
Supporting meetings, workshops and seminars (including room set-up, site access, security arrangements, webinars, catering, audio visual set-up, meeting materials, etc.), and collaborating on Center events.
The AA will also support the development of PowerPoints, Excel spreadsheets, and other financial documents, and should be comfortable using multiple on-line electronic systems for finance, purchasing, travel, etc.

IAC administrative team members demonstrate a passion for contributing to the overall success of the center, its projects, and NREL as a whole. Successful team members display a desire to volunteer, learn, and participate. Confidentiality, diplomacy, and a respect for protocol are necessary for this position. The incumbent shall develop and maintain administrative, financial and record systems, and execute administrative support functions with some oversight, but at times will be required to execute tasks on their own with minimal supervision. The incumbent works routinely with management and staff.
Intermediate to advanced knowledge of Microsoft Office Suite, including Power Point, Sharepoint, Outlook, Word, OneNote, and Excel are a must. Other frequently used electronic software programs include Oracle based platform for accounting and purchasing, WorkDay for personnel functions, and Concur for travel and finance. The incumbent must be proficient with some/all of these programs or show a willingness to learn.
High School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience.
Intermediate working knowledge of principles, procedures, and practices related to specific administrative support areas
The ability to work with minimal supervision and direction
Intermediate to advanced skills in computer operations and equipment, including the implementation and use of new computer software and communication methods
Coordination of webinars and conference calls
Execution of project administrative support
Proficiency in analytical techniques and problem-solving practices related to administrative functions
The ability to plan and host meetings with diplomacy
Experience related to organizing complex foreign travel
The ability to juggle and track the flow of paperwork (i.e. travel expense reports, subcontracts)
Outstanding administration skills
The ability to prioritize work
Excellent written and verbal communication skills
The ability to work well in a fast paced, fun team-environment.
The position requires attention to detail, diplomacy, and the ability to juggle multiple projects at once. Exceptional team and interpersonal skills are a must.
Preferred qualifications include:
4 year degree in business, communications, or a related field.
Experience with WorkDay, Concur, and Oracle software, programs is a plus.
