Job Description

Provide advanced-level business support to the Environment, Safety, Health & Quality (ESH&Q) Office by executing complex assignments with a high degree of independence. Serve as Assistant to the ESH&Q Director and management team. Serve as an administrative team member to ESH&Q staff and perform administrative tasks for the entire office. This position requires strong organizational skills, the ability to prioritize multiple demands, and excellent interpersonal skills. Prepares correspondence, reports, presentations, and more.

Responsibilities:

  • Provide complex, timely, and accurate senior-level administrative support to the ESH&Q Office Director and management team

  • Complete work assignments with a high degree of independence to determine work priority and procedures

  • Handle sensitive and proprietary information while maintaining a high degree of confidentiality and professionalism

  • Plan, implement, improve, and develop administrative and business systems and procedures to enable smooth and compliant operation of the ESH&Q Office

  • Manage the ESH&Q management team’s calendars, meetings, travel arrangements, expense processing, reimbursements, and external phone or email communication

  • Interface effectively with all levels of NREL management and staff, Department of Energy management and staff, regulatory agencies and community representatives, and other key internal and external contacts

  • Work closely with the ESH&Q management team in completing products and deliverables, such as preparing and submitting approved documents

  • Support ESH&Q management by taking meeting minutes, editing and preparing presentations, and data handling

  • Draft correspondence for response to internal and external inquiries and independently respond to and appropriately route requests

  • Collect and analyze data for NREL and ESH&Q performance metrics

  • Provide project tracking for ESH&Q Office deliverables and due dates

  • Maintain records (paper and electronic) for the office

  • Provide backup support to other ESH&Q administrative functions

  • Support ESH&Q events by selecting food menus and catering services, coordinating visitor access, scheduling facilities, and providing lodging and transportation information

  • Follow all NREL policies and procedures to ensure compliance with DOE Orders and NREL requirements

  • May perform financial and budget work

Basic Qualifications

High School Diploma or equivalent and 4 or more years of experience or related administrative experience. Or, relevant Associate's Degree or certification program of comparable scope and 2 or more years of experience or equivalent related administrative experience.

  • Ability to research, analyze, and draw conclusions to provide alternative solutions

  • Strong attention to detail

  • Considerable knowledge providing business and administrative support to Senior Managers

  • Considerable understanding of business support activities

  • Demonstrated experience working with software applications and office equipment

  • Effective written and verbal communication that is clear and concise

  • Excellent interpersonal skills individually and in a team environment

  • Approachable with a friendly collaborative style to getting things done

  • Considerable knowledge of specialized focused business support functions

  • Complete understanding of the general and detailed aspects of the business support activities, and their practical applications to problems and situations ordinarily encountered

  • Experienced skills in applicable software packages and office equipment

  • Demonstrated project administration skills

  • Full knowledge of specific principles, procedures and practices related to supported fields and disciplines

  • Strong written and verbal communication skills, team and interpersonal skills

Preferred Qualifications

  • Familiar with ESH&Q principles and concepts

  • Experience using Microsoft Office Suite and other computer software programs such as EtQ Reliance, Workday, Concur, Oracle, SharePoint, etc.
